1. Who we are

Agent Integration Ltd (company registered in England and Wales, address: 9 Nelson Street, Southend On Sea, SS1 1EF) operates AgentScheduler. We are the data processor for personal data you input into the service; you are the data controller. For questions, contact support@agentschedule.ai.

2. What data we hold

We hold three categories of data:

Account data: your name, email, company name, and billing information collected at signup.

Job data: property addresses, job types, required dates, and notes you enter or that are extracted from works orders.

Tenant and engineer data: names, phone numbers, and email addresses you enter or that are extracted from works orders. Tenant phone numbers are encrypted at rest.

3. Works order PDFs

Works order PDF files uploaded to the service are sent directly to Anthropic's Claude API for data extraction. The PDF is transmitted securely over TLS, processed, and the structured data returned. The PDF file itself is never stored by AgentScheduler after extraction. Anthropic's data handling is governed by their API data processing terms. We do not use your works order content to train AI models.

4. How we use data

To deliver the scheduling and outreach features of the service.

To send automated communications to tenants on your behalf (calls, WhatsApp, SMS) where you have instructed us to do so.

To bill your account and provide purchase receipts.

To respond to support requests.

We never sell your data or use it for advertising.

5. Data retention

Job, tenant, and property data is retained for the period configured in your organisation settings (default: 365 days from job creation). Data is automatically deleted after the retention period expires.

Account data is retained for as long as your account is active and for up to 6 years thereafter for legal and accounting purposes.

6. Data security

All data is stored in Supabase (EU region) with encryption at rest and in transit.

Tenant phone numbers are encrypted at the application layer before storage.

Access to the service requires authentication. All API requests are authenticated and row-level security ensures organisations cannot access each other's data.

We undergo regular security reviews and apply patches promptly.

7. Your rights

Under UK GDPR you (and the individuals whose data you hold) have rights including access, rectification, erasure, and data portability. To exercise any of these rights, or to request deletion of your account and all associated data, contact us at support@agentschedule.ai.

You have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
